Job Summary

Routine supervisory work in the storage and safekeeping of court documents and exhibits.  An employee in this class is responsible for the safe keeping and distribution of court files, books, records and other important documents required for use by the courts, judicial personnel, members of staff and the general public.

Work involves ensuring that such documents are properly and correctly stored in the vault and supervising one or a few subordinates engaged in searching for and replacing documents. Work is performed with some independence on routine assignments, but on new assignments, detailed instructions are received from a superior who reviews work for adherence to instructions and standard practices.

The FCD Vault Attendant may be assigned to any of the FCD locations.

Reports to FCD Records Officer
Duties and Responsibilities
  • Opens and closes vault; prepares requisition for specialized stationery and forms for the main office and distributes to sub-registries.
  • Checks, collates and files court documents and exhibits as well as administrative documents.
  • Advises appropriate personnel on the location of books and documents.
  • Delivers documents to authorized personnel.
  • Makes searches for data requested by appropriate personnel.
  • Makes appropriate entries in the Case Management Information System
  • Performs related work as required.
Knowledge
  • Considerable knowledge of the types of records kept in the vault and the vault records keeping proceedings and of the methods and techniques used in locating same.
  • Knowledge of the methods used in the filing, storage and distribution of documents.
Skills and Abilities
  • Ability to keep simple records.
  • Ability to assist staff members and member of the public in locating appropriate records.
  • Ability to supervise the routine work of subordinates.
  • Ability to establish and maintain satisfactory working relationships.
Minimum Experience and Training

Training as evidenced by the Primary School leaving certificate; computer literacy or any equivalent combination of experience and training.
