Job Summary

An employee in this class supervises and coordinates the work of staff engaged in
reviewing and checking information related to case flow management, receiving and
filing legal documents and preparing lists for court hearings. Work involves checking
documents for accuracy, reviewing all claims, petitions and notices to ensure adherence
to rules and procedures and produces reports on the status of matters. Work is performed independently and is reviewed by a superior for adherence to rules and procedures and for accomplishment through reports.

The Divisional Case Management Officer (DCMO) III may be assigned to any court location as required.

Duties and Responsibilities
  • Supervises and coordinates the work of staff engaged in reviewing and checking
    information, receiving and filing legal documents and preparing lists for court hearings by:

    • Reviewing and monitoring work
    • Giving guidance/direction as necessary
    • Assigning work
    • Evaluating performance
  • Reviews and checks electronically, civil claims, family petitions, notices, applications and court orders to ensure compliance with the relevant Court Rules and Criminal Proceedings Rules and procedures.
  • Issues notices and reminders of date and time for court hearings, pre-trial reviews and conferences to relevant parties.
  • Issues copies of all applications and orders regarding sanctions for non-compliance to relevant parties, follow up to ensure receipt and updates system accordingly.
  • Produces daily reports on matters scheduled for listed hearing and contacts relevant parties, such as members of Judges Team, as necessary.
  • Reviews all legal documents submitted to staff to ensure accuracy/completeness of information and adequacy of stamp fees payable.
  • Checks all documents received at the counter and routes those pertaining to fixed date claims to Case Management Officer II for processing.
  • Peruses the contents of listings questionnaires and confers with Attorney-at-Law/Litigants in order to determine the need to amend the listing of matters.
  • Reviews data entries for a case update, in order to detect errors which may affect the scheduling of cases and makes amendments, as necessary.
  • Produces weekly system reports on the status of matters at conferences and pre-trial reviews and routes to the Case Management Officer II.
  • Performs related work as may be required.
Knowledge
  • Considerable knowledge of the practices and procedures of the case flow management methods used in the Criminal Division and District Criminal and Traffic Court of Trinidad and Tobago.
  • Considerable knowledge of the Criminal Proceeding Rules as it relates to the case flow management methods used in Criminal Division and District Criminal and Traffic Court of Trinidad and Tobago.
  • Considerable knowledge of the fees applicable to various legal documents.
  • Knowledge of the legal terminologies, abbreviations and types of documents.
  • Knowledge of the filing system used in the Criminal Division and District Criminal and Traffic Court of Trinidad and Tobago.
  • Knowledge of court protocol.
  • Knowledge of the relevant software applications used in the Criminal Division and District Criminal and Traffic Court of Trinidad and Tobago.
Skills and Abilities
  • Skilled in the use of Microsoft suite.
  • Ability to supervise and coordinate staff engaged in specialized clerical work related to case flow management.
  • Ability to identify legal documents.
  • Ability to interpret court rules as it relates to the functions being performed.
  • Ability to communicate clearly and concisely both orally and in writing.
  • Ability to establish and maintain effective working relationships with others, legal practitioners and the general public.
Minimum Experience and Training
  • Considerable clerical experience working in the field of Court Administration.
  • Training as evidenced by the possession of five (5) GCE/CXC Ordinary Level passes (including English Language) supplemented by the successful completion of the Basic Court Paralegal Course; or
  • Any equivalent combination of experience and training
